September General Meeting Minutes-9/13/16

Meeting Called To Order-6:30 pm at Lynn Cole Field, Tiffin.

Treasurers Report-Presented by Jim Hawkins. Treasurers report will stand as read. Jim Hawkins made a motion to "Transfer $1000.00 from the airplane raffle fund to the Field/Equipment Purchase Fund". 2nd by Ryan Upton. Motion passed.

Old Business

PORT CLINTON FLY-IN- It was reported that the PC event went well. TORCM should be profiting between $500-$1000 for our participation in the event. Our group will probably be able to host the VIP food area next year, but we may have some added responsibilities. Ryan Upton also suggested that, whoever chairs the event, should attend more meetings next year to keep abreast of any changes that may be made and to keep the interests of TORCM known.

STEM-Brian Bennett reported that there are currently 5 students enrolled in the STEM class at Calvert this year. Brian will be addressing the class on drones and quads in the future. The class would also like to run boats at our field and perhaps supply bird houses for our wildlife preservation project.

Float Fly-TORCM will be holding a float fly on Sunday, October 16 from 9am-3pm at Lynn Cole Field. Lunch will be available from 11am-1pm. Joe Sheak will email TORCM members and put out a release to the New London Float Fly Club inviting them to this event. NO PILOT FEE!!

New Business

Elections-The annual election of officers will take place at the October meeting.
Next Year's Raffle-Discussion was held regarding the airplane raffle that TORCM held this past year. Matt Leibengood thought that we should do the same for next year as this year's raffle was a success. However, it would be great if more of our membership would sell tickets. It was also suggested that perhaps one of the prizes should be a quad copter/FPV racer and an airplane. More information will be forthcoming. The club agreed to spend "up to $1000.00 on the purchase of aircraft for the raffle".

NO FLY Sign-Ryan Upton suggested that a large sign be erected to warn pilots to not fly over the Zimmerman property on the southeast corner of our field. Ken Olson made a motion for this and Cal Kanan made the 2nd. Motion passed.

Neighbor Relations-In regards to the recent visit by Mr. Baker to our field stating his displeasure with our activity, it was recommended that should something like this confrontation occur in the future with any neighbors, the following steps should be taken by the club member(s).
1. STAY CALM
2. RECORD THE INCIDENT ON YOUR PHONE.
3. SHOULD THE CONFRONATION ESCALATE, CALL THE SHERIFF.

Safety Officer Report-Ryan Upton urged club members to be very careful with any type/size of aircraft so that injuries do not occur. Over the years, accidents happened throughout our activity, that could have been prevented by exercising a little common sense and adhering to strict safety policies.

Old Business
STEM-More information on this project will be available at the beginning of the new school year.
Tail Dunk Challenge-No money was made at this event. Hot weather put a damper on the attendance.
Port Clinton-Our club will be serving sandwiches, pizza, etc for the volunteers and the performers. We will be given a donation ($500.00?) for our services.
Float Fly-The question was asked as to whether our club would be having a float fly this fall. Much discussion took place. More information will be forthcoming at the September meeting.

New Business
RC Car Track-A question was asked as to whether we could have an RC Car Track at our facility. Much discussion took place on the topic. If someone would like to put in the effort to develop this idea, the club would allow it.

FPV Race Course-Brian Bennett asked about developing an FPV Race Course at our facility. Much discussion was held. Again, like the RC Cars, if someone wants to develop the idea, the club would allow it.

Election of Officers-The annual election of officers will take place at the field at the October meeting. If you would like to run for an office, please let Joe Sheak know by the September meeting, or shortly there after. Currently, the following individuals will be running for office:

Old Business
STEM- There were about 7 students from the Tiffin Calvert STEM Class that came out to the field to fly the aircraft that they built. The wind was a problem that day, but the kids seemed to have a good time. Thanks to Al Smith, Jerry Bower, and Charlie Gaitros for being available to help the students. We tip our hats to you guys!

T-Shirts-The new club t-shirts have arrived! Joe Sheak does have extra t-shirts for those who still may want one.

Port Clinton VIP Food Tent-Ryan Upton is planning on attending one of the PC meetings to get a little more information for our club members who have volunteered to help at their RC Show in August. Details will be forthcoming!

Wind Turbine Farm-It was brought to our club's attention that there is a website promoting the benefits of wind turbines. Waste Management knows nothing about the proposed turbines that may be erected in our area. The sight will be east and north of our field so it should not interfere with our flying activities. Stay tuned folks!

Article in Model Aviation Magazine-Much discussion took place regarding an article on being a successful club that appeared in the Model Aviation Magazine recently. Joe Sheak brought this to the club's attention at the May meeting. While the read was good, there was no real idea that jumped out on how we can improve our club. Thoughts? Share them with the group!

New Business
Rule Clarification-We are a flying club first and foremost, not a fishing club. The exception being you can fish if you are a member. Your immediate family is also permitted. Please do not bring others on the property to fish. Also, there is no camping on the property except for the weekends that we have a fly-in or prior permission is received if you are a boy scout group, etc.
Paul Newland Report-Paul has a high powered light to help find lost engines in the ponds, should it be needed. Much discussion was held on this subject. Paul will check on getting a heavy duty magnet to retrieve said lost engines in the future.
New Fish For Pond-Roy Davisson proposed that the club purchase more "plant eating fish" to replace those that were purchased years ago. Apparently over time, these fish lose their appetite and the small pond is getting pretty crowded with unwanted vegetation. More discussion later.
Daniel's Hobbies-Has re-opened in Berlin Heights. Rumor has it that it is nice.
Field Marshall-Jerry Bower reported that a new battery and tires have been purchased for the tractors. Mower blades have been sharpened. Field maintenance is on schedule. Matt Leibengood will take care of getting the windsock replaced.
Float Fly-Are we having one? Discussion held.
Fly-in-The uncle of Matt Leibengood is designing an award sticker for those who participate in the tail dunk challenge. The club will pay the designer $100.00 for his efforts. Matt will also take care of getting the stickers made. A motion was also made by Matt Leibengood and seconded by Ryan Upton to spend up to $300.00 for pilot prizes for the fly-in. Motion passed. The flight line will be closed during the tail dunk challenge and closed circuit TV will be available for the spectators to watch at a safe distance.

Fun Fly: We need to get it advertised. Much discussion was held. Nottom line...we all need to
advertise this event for it to be successful.

Flea Market: ??? Maybe our club can participate at one in the future?

STEM: Brian Bennett reported that the class from Calvert would like to take a field trip to our field
before the end of the year to perhaps test the aircraft that they have built. Club members would need to be present to help the students. Brian will also provide documentation for Waste Management and the AMA to show them what our club has been doing with the STEM Program at Calvert HS.

PC VIP Food Tent: Our club will man this tent. Keep It Simple Stupid method! Pizza on Saturday,
sandwiches on Sunday??? This tent is for staff, (performers, pilots, etc.). Our Club should see a
$500.00 minimum profit from this venture.

T-Shirts: Many members have pre-ordered shirts. Shirts should be available by the June meeting.

Raffle Tickets: Sell them. We still have a number of tickets available.

Field Marshall: Field prep/equipment maintenance is on schedule. Will be spraying the parking area for weeds.

New Business:

Wind Turbines: Jim Hawkins alerted the club to the possibility of a wind turbine farm in our backyard.  Will this have an impact on our club? Time will tell.

Article in Model Aviation Magazine: Joe Sheak suggested that the members read the article, "Fostering An Active Flying Club In The Modern Era" in the May edition of Model Aviation Magazine. Perhaps a
discussion could be held at the June meeting regarding the topic that would benefit our club.

Plaques: "In Memory" plaque has been updated and an additional plaque has been made for future use.  A plaque explaining who Lynn Cole was will also be added in the near future.

New Business Swap Meets-See Jim Hawkins for details.

FAA Registration-For now, TORCM members should follow the AMA guidelines for registering themselves with the FAA. 

Warbirds Over Port Clinton-Ryan Upton gave a report. Things have changed. We no longer will be doing the "main" food tent. Instead, we have the opportunity to man the VIP food tent. We would be serving food to the volunteers and performers. Jim Hawkins made a motion that reads, "The Tiffin Ohio RC Modelers will supply volunteers and a chairman to run the VIP Food Tent for pilots, volunteers, etc., for the Warbirds Over Port Clinton Event, pending more details from the Port Clinton Warbirds Committee." The motion was seconded by Larry Sieving. Motion Passed. Our group would be possibly feeding 70-80 people over the two day event. More details will be forthcoming. Ryan Upton will chair this event. 

Home Shows-The membership decided not to attend the Fremont Home Show this year. We will attend the Tiffin Home Show. Joe Sheak will contact the person in charge and make the necessary arrangements. 

Safety Issues for Turbines-Ken Olsen brought up the idea about having additional safety protocol for those who fly turbines. This is based on recommendations suggested by those who fly turbine aircraft. Much discussion was held. We should probably have the phone numbers of the local fire department and EMS posted at the field for future reference. We should probably also check our fire extinguishers and first aid kit to make sure that they are up to date. 

Porta-Potty-The wind has blown over the porta-potty. Jim will call the company as they were supposed to remove it anyway. 

Sunset Campground-Our club was asked to provide a program for the campers at this campground. We decided not to provide this service.

Joe Kirian-President Matt Leibengood made a request to Joe Kirian to turn in the Vice President binder so that it could be passed on to the current Vice President. Joe will take care of this.

Fly-In-Matt Leibengood will take care of getting the event sanctioned through the AMA. Matt Leibengood and Roy Davisson will share responsibilities of CD and Chairman for the event? Chef Jim will take care of the food.

New Business
Swap Meets-See Jim Hawkins for an updated list of Swap Meets in our area.

FAA-Much discussion was held on the subject of registering with the FAA for the "drone" issues. When you register, you are registering yourself, not your aircraft. Registration number supplied by FAA needs to be placed on each aircraft you fly. AMA is trying to get the FAA to allow us to use our AMA# for this purpose. Be on the lookout for more on this topic in the future!

PC Show-Ryan Upton gave a report on the food tent project thus far. He has spent $360.00 on pulled pork. Initial plans are well underway. The theme for the food tent will be the "Mess Hall". Some volunteers are still needed.

Old Business
Future Fly-Ins-Much discussion was held on this topic. It is the general consensus of the members present, that we should only do one fly-in event next year (2016). Lack of pilots, patrons, and club members were all reasons to only have one event. Dates will be looked at so that we are not going up against another area fly-in.

Port Clinton-Our club has the opportunity to manage the food tent at next year's "Warbirds Over PC" event. Ryan Upton has volunteered to chair this event. A motion was made by Jim Hawkins and seconded by Charlie Gaitros "To commit our club to manage the food tent at the Warnbirds Over Port Clinton event". This is pending the report by Ryan Upton to find out if we have the bodies to run the two day event. Motion passed. PC will provide tent (we would reimburse them), tables, chairs, and electricity. We would need to supply bodies, food license, grills, coolers, food, 3 sinks, etc. T-Shirts-Joe Sheak will be sending a flyer out with ordering information.

Raffle-Much discussion on this topic. Motion was made by Ken Olsen and seconded by Dave Richards to "Spend $1000.00 on two airplanes that the club will raffle off by the end of August, or if all the tickets are sold before then. Club will need to sell 250 tickets at $10.00 each". Motion passed.

New Business
October Meeting-A motion was made by Dave Richards and seconded by Ken Olsen to move the October General Meeting to Jac & Do's do to the unpredictability of the weather. Motion failed.

Porta John-Jim Hawkins made a motion and seconded by Dave Richards to "Purchase a Porta-John for the field instead of renting one". Motion passed. Someone will need to check on prices and availability and report back to the club.

Kill the Web Hosting Service-We will save money by not paying for this service. It will not affect our blogspot.

Woodlane School-The school would like our club to make a presentation for their students again this year. Club members thought that it would work better in the spring when we could possibly do something outdoors.

Old Business
New T-Shirt Design- Joe Sheak will be sending out an order form for members to pre-order and pre-pay if they would like a club t-shirt. Design features the "3 plane burst" design.

Float-Fly-Matt Leibengood showed up for the event. Weather was not the best.

Fostoria Rail Society-Reported that the event went well. Good weather. Much room to fly. This year we were able to fly electric and gas/glow planes. Plenty of room to fly. Thanks to club members Charlie Gaitros, Jerry Bower, Mike Yost, Dave Richards, Steve Lote and Joe Sheak for participating in this event.

Election of Officers-The slate of officers was approved. Vote was taken. The results are as follows: For 2 year terms, Secretary-Joe Sheak, Treasurer-Jim Hawkins, Field Marshall-Jerry Bower. For 1 year terms, Vice President-Dave Gierhart, Executive Vice President-Dave Richards. The previous 2 offices are only one year terms because of a recently vacated position and a position that was never filled from last year's election. The offices of President and Safety Officer were not up for re-election this year. They are held by Matt Leibengood and Ryan Upton, respectively.

New Business
Raffle-An idea for next year's raffle was presented by Matt Leibengood. He suggested that we raffle off a receiver ready airplane with tickets costing $20.00 each and only 100 tickets sold. Much discussion about the topic held. More on that in the future.

1 Fly-In Next Year-Much discussion was held on the possibility of only having one fly-in next year. This year we did not get the participants or the spectators that we have had in the past. It is also getting more difficult to get members involved. Is it worth the effort to do these events if we do not get much out of them? Members should weigh in on this topic at future meetings. We need your input.

Port Clinton Show-It has been brought to our clubs attention that Port Clinton may be needing a group to run the concession area for their Warbird Event in August. We could make a good amount of money but we would need many of our members to participate . The event runs from 9 am-4pm on both days of the event. We would be able to have some simple breakfast items in the morning and then do more traditional food for the afternoon. We need the input of the membership on this topic.

Old Business 

Lynn Cole and Big Bird-It was reported that attendance, by pilots and spectators, was down at both these events. Consequently, not much money was made. At the Big Bird, $121.00 was made from the raffle, that will be sent to the Wounded Warrior Project via the AMA. Discussion was also held on only having 1 flying event next year. We would need some new ideas and really hit the advertising/marketing very hard. 

Port Clinton-Thanks to the TORCM members who helped with this event! 

T-Shirts-A new design for t-shirts and polo shirts was presented by Joe Sheak. There will be a "preorder" form sent to all club members in the near future. Shirts will be made by Viewpoint Graphics in Tiffin. Club hats are still available, as well. 

New Business 

Elections-The annual election of officers will take place at the October meeting. Offices available for two year terms are: Secretary, Treasurer, and Field Marshall. We also have two offices open for one year terms due to the office never being filled or a recently announced vacancy. These offices are VicePresident and Executive Vice-President. Members were encouraged to run for an office. 

Fostoria Railfest-This will be held on Saturday, September 26th from 10:00 am until 4:00 pm. TORCM has been asked to be present again this year. Joe Sheak will be making the plans for our club. This year, electric or gas/glow are permitted. 

Shed Locks-It has been suggested that the locks on the sheds be changed so that only mowing crew/board members have the combination. Motion was made by Jim Hawkins with a second by Joe Sheak. Motion passed. 

Glo-Fuel-Once the current case of glo-fuel is gone, the club will no longer be stocking fuel. However, Jim Hawkins will still be able to get you fuel, but you need to plan ahead and let him know. 

Meeting Time-A motion was made by Jim Hawkins and seconded by Joe Sheak to start future meetings at 6:30 pm instead of 6:00 pm to make it easier for those travelling a distance to get to the meeting. Motion passed. 

Lynn Cole Plaque-It was proposed by Joe Sheak that a plaque be made to let people know who Lynn Cole was and why our field is named in his honor. Joe Sheak will take care of getting this project completed, as well as securing a place to display the new plaques and our deceased member plaque. 
Beach Clean-Up-We will need to clean the beach area for the float-fly.

Lynn Cole Fly-In- The event went as planned. 22 pilots showed up for the event. Event went smoothly. Thanks to the guys who helped set-up and for getting the field ready. 
Equipment-All mowing equipment is currently up and running. 

New Business
Mravek Garage Sale-Aug 29 & 30, 9-5 pm at 29 Southland Way in Fremont. Mrs. Mravek will be offering the remainder of the RC items that Steve had acquired. Port Clinton-Volunteers are still needed.

Officers-Elections for TORCM officers are in October. Offices available this year are Secretary, Treasurer, and Field Marshall. 
AMA-Dues for AMA are going up to $75.00 this year. If you pay by September 14?, you will be charged the current rate. If you pay for two years you will get another $3.00 discount. Why wait??? Warbirds/Port Clinton- August 22-23. Volunteers still needed.

Field Maintainance-Joe Sheak complimented Charlie Gaitros, Jerry Bower and Dave Richards for the great work that they have done taking care of the field. It looks awesome. Mowers are all in good working order. Thank you Mr. Gaitros!
Facebook-Brian Bennett will take care of re-doing the TORCM facebook page. Thank you Brian!
STEM-No new news. Perhaps more information in the fall when school starts.
Wind Sock-Matt Leibengood has the new wind sock.
Tiffin Flea Market-Only $61 in tickets sales. Had to pay $25.00 for the booth. Is it worth it? Need more members to help out at these events. Perhaps we need to discuss this in the future!

Raffle Tickets-Sell, sell, sell!!!! Email reminder will be sent. Turn in cash or tickets ASAP!!
Pilot Prizes-Last year we spent $400 on pilot prizes for each fly-in. The question was asked, should we be spending more than we take in on pilot registrations? Jim Hawkins made a motion that we spend $250.00 per show and continue to charge the landing fee. Only "flying" pilots would be eligible for pilot prizes. 2nd by Al Weichman. Motion passed.
Deceased Member Plaque-Roy Davisson will update the plaque to include Steve Mravek. It was also
suggested that if a member hears about another member who is deceased or in poor health to let others know about it.

Tiffin Home Shows-Matt Leibengood sent "Thank You" notes to both the Fremont and Tiffin Home Shows. A donation of $50.00 was also sent to the Fremont Home Show, per their suggestion. Tiffin show went well. Good location. Many raffle tickets were sold. May have to donate to Tiffin in the future.
Field Prep-Charlie Gaitros rolled the field.
Swap Shop-No comment

New Business
Facebook Page/Blogspot-Should be updated regularly. Someone needs to step forward to take care of this. Meeting minutes will be posted to the Blogspot.
STEM Project-Tiffin Calvert HS has a STEM (science, technology, engineering, math) Program for their students. Teacher's name is Christopher Camm, who made a presentation to the club. TC would like to partner with TORCM to help them fly their projects. Certainly seems like a worthwhile project for our club to participate in.
Spring Field Spraying-Charlie Gaitros will take care of spraying the field for weeds.
Wind Sock-Needs repaired or replaced.
Tiffin Flea Market-May 2 &3. We will need members to man the booth and bring aircraft. Send out email reminder.

Home Shows-Fremont Show went OK.  Not as much traffic this year.  Simulator was a big hit with the    kids.  Tickets sales were not good!  Tiffin Show-upcoming with much room for indoor flying.  Set-up for this show will be Friday at 3:00 pm.
Raffle-Board will decide whether to send tickets to members to sell.


New Business
Field Prep-Discussion held on what needs to be done to get the field/equipment ready for the season.   Charlie Gaitros will be checking out the equipment.
Model Aviation Day-Joe Sheak will get the club signed up for this event.
Swap Shop-Roy Davisson suggested that our club sponsor a Swap Shop to raise funds for the club.   Much discussion occurred.  We would need a venue that was cheap.  Can the area tolerate yet another swap shop?  Should we partner with Port Clinton and not do one of our events?  We need to do a better job marketing our club.  Much of this discussion took place about a year ago when some of our members made the similar suggestions.
